Customer context

At this major banking institution, the legal department managed a library of contractual documents in Word format, which was made available to other departments via a document sharing system. Internal users drafted their deeds from these Word templates, then had to request several manual validations by e-mail, before starting a separate electronic signature process.

Some templates were still driven by complex direct mail macros, which were impossible to maintain once the people who designed them had left. Each modification took several days to process, creating a bottleneck for strategic documents.

The organization wanted to modernize its operations in depth, to automate contract production, simplify contract updating, speed up internal exchanges and integrate electronic signatures into a unified process.

The Osidoc intervention

The bank deployed Osidoc to automate its legal document production and simplify the management of its deeds library. The project was structured around two main use cases:

Use case 1 - Automating the complete validation and signature cycle :

  • Transfer of complex legal models into Osidoc, with intelligent forms to generate contracts in just a few clicks.

  • Implementation of a validation circuit directly in Osidoc, avoiding e-mail exchanges and ensuring centralized monitoring.

  • Connection to the DocuSign electronic signature tool, with support for parallel or sequential signature scenarios.

  • Notifications and comments integrated into Osidoc, facilitating exchanges between departments.

Use case 2 - Taking over an old model that has become obsolete :

  • A strategic model was based on a direct mail macro that had become unusable.

  • Osidoc enabled us to reconstruct this complex model from business databases (service grids maintained by in-house experts).

  • The legal team was able to regain control of this critical document, without relying on specific technical skills.

The results

The automation implemented with Osidoc has enabled the legal department to reinternalize the management of its library and facilitate its use throughout the company:

  • Drafting time divided by 4, even for the most complex models.

  • Validation 100% integrated into the document workflow, with improved tracking and traceability.

  • Seamless integration of electronic signatures, with no need for re-typing or process breaks.

  • Modernization of a critical model, now maintained and operated using no-code logic.

  • A legal library that is now accessible, maintainable and secure, deployed in all the company's business departments.

Today, Osidoc is an essential link in the bank's legal documentation information system, and has profoundly transformed its contractual practices.
